Q: Where and when is the CNS Annual Meeting?
 The 59th CNS Annual Meeting will take place in New Orleans, Louisiana at the Ernest N. Morial Convention Center. The Annual Meeting dates are Saturday, October 24 - Thursday, October 29, 2009.
Q: How many medical professionals attend the CNS Annual Meeting?
 The CNS Annual Meeting attracts approximately 3,000 medical professionals.
Q: When is the Application Deadline for exhibit space?
 The Application Deadline is April 9, 2009. After that date, exhibit space will be assigned on a first-come, first-served basis while available.
Q: Is exhibit space available? How do I get more information?

Q: Can I still reserve booth space?
 A limited amount of space is still available. Contact the CNS at 847 240 2500 or submit an Exhibit Application today.
Q: How is space assigned?
 All exhibitors submitting their application before the Application Deadline on April 9, 2009, will be assigned based on the following:
  • Number of consecutive years of participation in the past five (5) CNS Annual Meetings.
  • Number of booths occupied during the past five (5) consecutive CNS Annual Meetings.
  • Date of receipt of the exhibit application and deposit in the CNS office.
  • Booth size and proximity of competitive companies on the exhibit floor.
After the Application Deadline, exhibit space will be assigned on a first-come, first-served basis while available.
Badges
Q: How do I reserve my exhibitor badges?
 Exhibitors may register for badges online or by completing and sending in an advance registration form. This form will be included in the online Exhibitor Service Kit. The Exhibitor Services Kit will be online on July 22, 2009.
Q: What is the fee for exhibitor badges?
 Exhibiting companies may register up to five (5) employees free of charge for each 10’ x 10’ booth space purchased. Complimentary badges that are not reserved by September 17, 2009 will be forfeited. All badges over the complimentary allotment are $100 each if reserved before September 17, 2009. All badges issued on site (including replacement badges) are $150 each regardless of the number of personnel that are pre-registered.
Q: Where can exhibitors pick up badges and exhibit information?
 Badges may be picked up on site at the Exhibit Registration desk located in the Ernest N. Morial Convention Center.
Q: Where can exhibitors correct or replace their badges?
 Before the September 17 deadline, changes or corrections can be processed online or using the advance housing form located in the online Exhibitor Service Kit. On site, exhibitors can have their badge(s) corrected or have a new one printed in the Exhibit Registration Area located in the Ernest N. Morial Convention Center. There is a fee of $150 to reprint or replace any Exhibitor badge after the September 17 deadline.
Q: What if I don’t know all the names of the individuals working in my booth prior to the Advance Registration deadline of September 17, 2009?
 Additions or changes made after September 17, 2009 must be made on site. All badges issued on site (including replacement badges) are $150 each regardless of the number of personnel that are pre-registered.
Q: I am not an exhibitor, but in the future I’d like to be. Can I have a pass to look around the Exhibit Hall?
 We do not sell passes to the Exhibit Hall; however, our exhibit manager would be happy to give you a guided tour of the Exhibit Hall on Wednesday, October 28, 2009. If you are interested please contact us at info@1cns.org and we can set up an appointment for a guided tour.

Housing
Q: How do I reserve my exhibitor housing?
 Exhibitors can book housing online or by completing and sending in an individual housing request form. This form will be available in the online Exhibitor Service Kit on July 22, 2009.

Exhibitor Group Housing blocks can also be reserved online or by sending in a group housing request form. This form is also available in the online Exhibitor Service Kit on July 22, 2009.
Q: How can I receive Opening Reception tickets?
 As a thank you to Exhibitors staying within the CNS Housing Block, the CNS will provide a maximum of two (2) complimentary tickets to the Opening Reception on Sunday evening for each 10’ x 10’ booth contracted (up to a maximum of 24 tickets). Exhibitors staying outside the CNS Housing Block may purchase tickets to the Opening Reception on site on a first-come, first-served basis.

Q: What time can I enter the Exhibit Hall?
 Exhibitor personnel will be permitted on the exhibit floor at 8:00 AM on show days and must vacate thirty minutes after the daily closing of the Exhibit Hall.
Q: What are the Installation Dates/Hours?

 Exhibitors with a 1,600 square foot booth or larger may begin installing their booth on Friday, October 23, 2009 from 8:00 AM - 4:30 PM.
Q: What are the Dismantling Dates/Hours?

 Dismantling exhibits prior to 3:00 PM on Wednesday, October 28, is strictly prohibited.
Q: Am I required to provide a certificate of insurance?
 Yes, please see page 13 of the Exhibitor Prospectus titled “Insurance & Liability,” for specific guidelines regarding your certificate of insurance. The CNS requires a hard copy of your insurance certificate to be mailed to the CNS office; no
e-mails or faxes will be accepted.

Booth Questions
Q: Can I ship my booth ahead of time?
 Yes. Shipping information will be made available to you on July 22, 2009.

Q: How do I get electric, furniture, housing, floral, cleaning Internet service, etc., for my booth?
 The Exhibitor Services Kit will be available online through the CNS General Contractor, Freeman Decorating, beginning July 22, 2009. (Kit will be available after final booth payment is received.) Freeman will e-mail CNS Exhibitors a personalized link to the online kit in July.

Your booth space must be paid in full prior to accessing the kit.

All forms should be completed in advance of the meeting to ensure that adequate labor, equipment, etc., is available for an easy setup.
Q: Can I hang signs and banners in my booth?
 Banners or other identification suspended or otherwise separated from the booth itself are only permitted in Island Booths (400 sq. ft. or larger) with prior approval from the CNS and the Ernest N. Morial Convention Center.

Activities and Functions
Q: What can I do if I want to set up a separate meeting for my customers or sales staff?
 Exhibitors may request function space to conduct special non-educational meetings/activities. A Function Space Request Form will be included in the Exhibitor Service Kit on July 22, 2009.

The deadline to request space is September 1, 2009.
Q: What days and times may I hold my meeting functions?
 A Function Space Request Form will be included in the Exhibitor Service Kit on July 22, 2009. The form will include dates/times available for exhibitors to hold meetings.

Q: My company would like to conduct a Satellite Symposium during the CNS Annual Meeting. How do I get started?
 To hold a Satellite Symposium, your company must be an official 2009 CNS Exhibitor. A representative from the official exhibiting company must submit a written request to conduct the symposium. View Satellite Symposia Guidelines
Q: Can exhibitors attend educational courses or auxiliary tours during the CNS Annual Meeting?
 Exhibitors may attend the General Scientific Sessions free of charge once all attending doctors have been seated. Exhibitors may purchase tickets for Luncheon Seminars on site if tickets are available. Exhibitors may NOT register for Practical Courses. Exhibitors may purchase tickets to evening Auxiliary events.

Note: Exhibit booths may not be left unattended at any time during Exhibit Hall hours.

Marketing Opportunities
Q: How do I attract more attention during the meeting?
 
  • Corporate Support - Become a CNS Corporate Supporter. The CNS offers many outstanding promotional and event sponsorship opportunities to help your company stand out and expand your presence beyond the Exhibit Hall.

  • Raffle/Drawing - You may conduct a raffle or drawing from within your booth. Requests for approval of in-booth contests, raffles, and giveaway items are due on September 17, 2009. Contact the CNS for more details.


  • Advertising - Advertising can greatly enhance your presence at the CNS Annual Meeting. We have many opportunities available: advertising in the Scientific Program, NEUROSURGERY and Congress Quarterly; inserting a product brochure or promotional piece in the Doctor’s Bag hotel drop; or renting the pre-meeting or post-meeting attendee mailing list.
Q: I’d like to give away a few things at my booth, what process do I need to go through?
 Please send a sample or PDF proof of your giveaway item to the CNS for review and approval by September 17, 2009. All items, except the exhibitor’s own products and literature, must be approved by the CNS prior to the meeting.

Items must be of minimal value, primarily designed for the education of patients or healthcare professionals. Items must NOT have value to healthcare professionals outside of his or her professional responsibilities.
